Even a detail as small as your email address influences how people view your brand.<\/p>\n\n\n\n<p>As a small business or a start-up, perhaps you\u2019ve tried using a personal email account for business. It\u2019s easy, right? Gmail is the biggest free email service in the world. Most people already have a Gmail address.<\/p>\n\n\n\n<p>But you have to be careful. If people get an email from an organization, they expect to see the business name in the sender\u2019s email address and in your marketing materials. Sending business emails from an @gmail.com account doesn\u2019t look very professional. Even more important, people will question whether your message is legit. Not having your own professional email address will mean more of your emails get flagged as spam.<\/p>\n\n\n\n<p>The answer? Create a custom domain email address. That is, an email address with your business name after the @ sign. You can do this in Google Mail. Or, how do you replace @gmail.com with @yourbusiness.com?<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"337\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/parts-of-an-email-address-2.png\" alt=\"parts of an email address\" class=\"wp-image-94900\"\/><\/figure>\n\n\n\n<p>A custom email address features your own domain name. <strong>An email domain<\/strong> is the part after the @ sign. So, in standard, free, personal Gmail accounts, the domain is always @gmail.com. To change it, you need a custom domain name.<\/p>\n\n\n\n<p>Think of a domain as a \u2018space\u2019 you buy on the internet. Or, more accurately, the address of that space so people can find it. We\u2019re all familiar with this idea through websites. A website domain is the address you type into a browser to find that site.<\/p>\n\n\n\n<p>There are 2 main options for replacing a standard Gmail address with a custom domain:<\/p>\n\n\n\n<ul>\n<li>Set up and buy a domain when you <a href=\"https:\/\/www.emailvendorselection.com\/go\/googleworkspacetrial\/\" target=\"_blank\" aria-label=\" (opens in a new tab)\" rel=\"noreferrer noopener nofollow\" class=\"ek-link\">create a Google Workspace account<\/a>.<\/li>\n\n\n\n<li>Create a domain elsewhere with a domain registrar and then connect it to a Google Workspace account.<\/li>\n<\/ul>\n\n\n\n<p>The second option will apply to you if you already have a business website. You will already have a custom domain for your site. But not all web hosting plans include email. If you don\u2019t have business email set up already, check your web hosting account. Bluehost is a good example of a service that offers both web and email hosting with a single domain. There\u2019s also <a href=\"https:\/\/www.emailvendorselection.com\/go\/googleworkspacegmail\/\" target=\"_blank\" aria-label=\" (opens in a new tab)\" rel=\"noreferrer noopener nofollow\" class=\"ek-link\">a 14-day free trial<\/a>.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.emailvendorselection.com\/go\/googleworkspacegmail\/\" target=\"_blank\" aria-label=\" (opens in a new tab)\" rel=\"noreferrer noopener nofollow\" class=\"ek-link buttonCTA\">Create your own email with Google Workspace<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. Create a Google Workspace account and get your domain<\/h3>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"448\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Get-Started-with-a-Google-Workspace-Account-1.png\" alt=\"Get Started with a Google Workspace Account\" class=\"wp-image-94897\"\/><\/figure>\n\n\n\n<p>It couldn\u2019t be easier to <a href=\"https:\/\/www.emailvendorselection.com\/go\/googleworkspacegmail\/\" target=\"_blank\" aria-label=\" (opens in a new tab)\" rel=\"noreferrer noopener nofollow\" class=\"ek-link\">get started on Google Workspace<\/a>. You input your business name and some other details about your business. Then you get asked if you have an existing domain or not:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"369\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Getting-a-new-custom-domain-in-Google-Workspace-Account-1.png\" alt=\"Getting a new custom domain in Google Workspace Account\" class=\"wp-image-94901\"\/><\/figure>\n\n\n\n<p>Click \u201cGet a new custom domain\u201d. The next step is find a domain name. Ideally, you want your business name to be your domain. That\u2019s just what people expect when they get an email from a business. Google searches for available domain names for you. Then lists them along with their cost per year.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"622\" height=\"394\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Google-Workspace-find-a-custom-domain-1.png\" alt=\"Google Workspace find a custom domain\" class=\"wp-image-94898\"\/><\/figure>\n\n\n\n<p>You may find alternatives to your business name. This is because the domains for that term are already taken.<\/p>\n\n\n\n<p>Try choosing a different <strong>top-level domain<\/strong>. The top-level domain is the part after the dot. So .com or .co.uk or .net etc. You\u2019ll find .com domain names are the most popular. If that option isn\u2019t available, choose another.<\/p>\n\n\n\n<p>In some cases, you may find a lot of the most popular top-level domains you\u2019d like to use are taken. This can happen if you have a very generic business name. It\u2019s a good reason to choose a more unique name for your business.<\/p>\n\n\n\n<p>You have a couple of options here. You could choose a less common top-level domain. They\u2019re a little more expensive. And bear in mind that you want a domain that still looks professional. You could also consider tweaking the domain slightly. For example, you could add numbers. Or abbreviate your business name. Just make sure it\u2019s recognisable as your brand.&nbsp;<\/p>\n\n\n\n<p>Once you choose your domain, Google will use it to set up your Workspace account. This means your Gmail account will also be set up with that domain. So instead of emails being sent out with the gmail.com domain, people will see your business name.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Add a username to your account<\/h3>\n\n\n\n<p>The next thing you need to do is set up usernames and inboxes. These could be user accounts with different people\u2019s names. Or generic inboxes like sales@ or office@.<\/p>\n\n\n\n<p>If you\u2019re just setting up email for yourself, keeping it simple usually works best. Using your name, like \u201cpaul@emailvendorselection.com,\u201d feels personal and professional.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"636\" height=\"351\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Google-Workspace-creating-a-username.png\" alt=\"Google Workspace creating a username\" class=\"wp-image-94889\"\/><\/figure>\n\n\n\n<p>If you\u2019re creating email addresses for a team, there\u2019s a bit more to consider. Think about:<\/p>\n\n\n\n<ul>\n<li>how big your organization is,&nbsp;<\/li>\n\n\n\n<li>what you\u2019ll use the emails for,&nbsp;<\/li>\n\n\n\n<li>and how you want your brand to appear in inboxes.<\/li>\n<\/ul>\n\n\n\n<p>First-name-only email addresses can get messy fast if you ever hire two people with the same name. And email addresses that are long or complicated can be hard for customers to remember and easy to mistype.<\/p>\n\n\n\n<p>Beyond using just a first name, two widely used usernames are first initial plus last name or a full name format. Both look professional, scale well as your team grows, and make it easy for people to know who they\u2019re emailing. Or at least a registered domain name. Now you want to set up a Gmail account to send business email. And use your domain name as your professional email address.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.emailvendorselection.com\/go\/googleworkspacegmail\/\" target=\"_blank\" aria-label=\" (opens in a new tab)\" rel=\"noreferrer noopener nofollow\" class=\"ek-link\">Google Workspace<\/a> makes this very easy. Choose \u2018Set up using your existing domain\u2019 on this screen:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"362\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Setting-up-an-existing-custom-domain-in-your-Google-Workspace-account-1.png\" alt=\"Setting up an existing custom domain in your Google Workspace account\" class=\"wp-image-94899\"\/><\/figure>\n\n\n\n<p>Once you enter the domain you want to use, Google will prompt you to confirm. This is because you\u2019ll be creating a new Gmail account using that domain. Which will affect any existing business email account using that domain, if you have one. But there won\u2019t be any changes until your Gmail account is activated.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"475\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Using-a-custom-domain-in-Google-Workspace.png\" alt=\"Using a custom domain in Google Workspace\" class=\"wp-image-94893\"\/><\/figure>\n\n\n\n<p>Next, you will be prompted to create sign-in details for your new Workspace account. Then it\u2019s a case of setting up your new Gmail account. Google walks you through this and confirms that you own the domain by asking you to add or update the necessary DNS records.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"use_an_existing_custom_email_address_to_create_a_custom_Gmail_address\"><span class=\"ez-toc-section\" id=\"How_To_Create_a_Gmail_Account_Using_an_Existing_Custom_Email_Address\"><\/span>How To Create a Gmail Account Using an Existing Custom Email Address<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>If you have an existing domain for your business, you probably already have a business email, too. Few businesses with a functioning website won\u2019t have email. The exception would be if you are just starting. Perhaps you have bought a domain before you launch your website and email. In that case, you would set up your Gmail address \u2018from scratch\u2019 as described above.<\/p>\n\n\n\n<p>But what about using an existing, functioning email address? Perhaps one with lots of different inboxes on the same account? How do you switch that over to Gmail?<\/p>\n\n\n\n<p>The initial setup process is just the same as using any custom domain. You <a href=\"https:\/\/www.emailvendorselection.com\/go\/googleworkspacetrial\/\" target=\"_blank\" aria-label=\" (opens in a new tab)\" rel=\"noreferrer noopener nofollow\" class=\"ek-link\">create a new Google Workspace account<\/a>. Choose \u2018Set up using your existing domain\u2019, then set up your Gmail account and verify your domain.<\/p>\n\n\n\n<p>The difference is linking your existing email account to your new Gmail account. In short, you want the 2 to sync so you don\u2019t miss any emails and can send properly.&nbsp;<\/p>\n\n\n\n<p>There are 2 sides to this. First, you need to set up your new Gmail account so it can receive and send emails in sync with your existing account. Then you need to update the DNS records in your web host so it recognises your new Gmail account.<\/p>\n\n\n\n<p>Here\u2019s what you need to do in your Gmail account.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to Receive Emails in Gmail<\/h3>\n\n\n\n<p><\/p>\n\n\n\n<ol>\n<li>In your Gmail inbox, click on the settings \u2018Gear\u2019 icon at the top left of the page. Then click \u2018See all settings\u2019.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"436\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Gmail-Account-settings-1.png\" alt=\"Gmail Account settings\" class=\"wp-image-94894\"\/><\/figure>\n\n\n\n<ol start=\"2\">\n<li>Select the \u2018Accounts and Import\u2019 tab. From the drop-down menu, click on \u2018Add a mail account\u2019 in the \u2018Check mail from other accounts\u2019 section.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"441\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Add-a-mail-account-to-your-Gmail-account-1.png\" alt=\"Add a mail account to your Gmail account\" class=\"wp-image-94891\"\/><\/figure>\n\n\n\n<ol start=\"3\">\n<li>Type your business email address into the pop-up box and click \u2018Next\u2019.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"173\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Pop-up-screen-to-enter-the-email-address-you-would-like-to-add-to-your-Gmail-account-1.png\" alt=\"Pop-up screen to enter the email address you would like to add to your Gmail account\" class=\"wp-image-94888\"\/><\/figure>\n\n\n\n<ol start=\"4\">\n<li>Configure your account settings<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"386\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Configure-Gmail-account-settings-1.png\" alt=\"Configure Gmail account settings\" class=\"wp-image-94896\"\/><\/figure>\n\n\n\n<p>Input the username and password of your existing email account. You may need to use the full email address as the username.<\/p>\n\n\n\n<p>To connect the 2 accounts, you will need to have POP enabled on your existing account. How to do this will vary depending on which email service provider you are using. Look it up on their online help pages. Make sure you enable POP for <em>all <\/em>email.&nbsp;<\/p>\n\n\n\n<p>Two other things you should do are set the POP Server port to 995. And check the secure connection SSL option. These are important for security reasons. Using port 995 means the connection between Gmail and the mail server is encrypted. Port 995 and SSL both encrypt the connection between the email client and the mail server. This keeps your login details safe. And makes sure mail can\u2019t be intercepted and read by other people.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to Send Emails in Gmail<\/h3>\n\n\n\n<p>Setting up Gmail to send from an existing account carries straight on from the above:<\/p>\n\n\n\n<ol>\n<li>Confirm you also want to send email from this new Gmail account.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"257\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Confirmation-of-sending-from-an-existing-professional-email-address-in-Gmail-1.png\" alt=\"Confirmation of sending from an existing professional email address in Gmail\" class=\"wp-image-94895\"\/><\/figure>\n\n\n\n<p>Google does this as some people want to run 2 email accounts side by side. And perhaps only send from one of them. But if you are transferring a business account into Gmail, you probably want to replace your old account. If so, leave the button checked \u2018Yes\u2019.<\/p>\n\n\n\n<ol start=\"2\">\n<li>Add email details for sending.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"272\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Confirm-sender-information-on-a-new-Gmail-account-set-up-with-an-existing-custom-email-address-1.png\" alt=\"Confirm sender information on a new Gmail account set up with an existing custom email address\" class=\"wp-image-94892\"\/><\/figure>\n\n\n\n<p>The main purpose of this step is to confirm the sender name that appears on your emails. Leave the \u2018Treat this as an alias\u2019 box checked if you are replacing an existing email account with Gmail. The only reason to uncheck it would be if you still want to run multiple accounts.&nbsp;<\/p>\n\n\n\n<p>It\u2019s unlikely that you will need to specify a different \u2018reply-to\u2019 address. One reason might be if you are sending from a generic email address. Like an \u2018office@\u2019 address or similar. You might want to give people a named email address to reply to. Just to make it more personal.<\/p>\n\n\n\n<ol start=\"3\">\n<li>Verify that you own the existing email address.&nbsp;<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"650\" height=\"186\" src=\"https:\/\/www.emailvendorselection.com\/wp-content\/uploads\/Verify-your-existing-email-address-in-your-Gmail-account-1.png\" alt=\"Verify your existing email address in your Gmail account\" class=\"wp-image-94887\"\/><\/figure>\n\n\n\n<p>Google sends an email to your existing account for verifying domain ownership.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"set_up_a_custom_email_address_with_your_web_hosting_service\"><span class=\"ez-toc-section\" id=\"How_to_Set_Up_a_Custom_Gmail_Address_with_Your_Web_Host\"><\/span>How to Set Up a Custom Gmail Address with Your Web Host<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>If you have a web host that also includes email hosting, you can create an email address with your hosting service. And then configure it in Gmail as described above. This setup lets you send and receive messages from a custom address (like yourname@yourdomain.com) using Gmail.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1: Create your email account on your web host<\/h3>\n\n\n\n<p>Log in to your hosting control panel and find the menu to manage email accounts.
